      <image:caption>Here’s an interview tip that I picked up in my early days as a reporter: The best way to end an interview for a story is to admit that no matter how prepared you are, you can’t possibly think of all the right questions to ask. When the interview feels like it’s naturally coming to a close, don’t say thank you and goodbye just yet. You still have one more important question to ask: “Is there anything you’d like to mention that I didn’t ask you about?” I always try to remember to end my interviews this way, whether I’m talking to a person for a story for a business magazine or a nonprofit newsletter, or an article for a company’s intranet site. More than half the time, the person will respond with, “Oh, yes. I wanted to mention … ” Sometimes they just want to reiterate a talking point; at other times, they may launch into an interesting anecdote. On multiple occasions, asking that final question has elicited information that made the story I ended up writing so much better. Another way — my favorite way, actually — to ask this question is “What wasn’t I smart enough to ask you about that you wanted to mention?” That version of the question usually elicits at least a chuckle from the person I’ve been interviewing.</image:caption>

      <image:title>Blog - Think Like a Reporter to Write Quickly and Clearly</image:title>
      <image:caption>When I was a reporter for The Associated Press, I often had to quickly file breaking news stories for online use. We were taught to think of online writing in terms of “microbursts” of news: Each sentence, each paragraph, should be a significant little explosion of information. While I rarely write under such intense deadline pressure any more, I find that many of the tricks for quickly writing short news stories are useful for other kinds of writing, such as blog posts and email newsletters. Here a few tips to help you write short stories quickly and clearly: In your notebook or in whatever app you used to make notes for your story, write: “What strikes me?” Then spend a few minutes absorbing the details and points you want to/must make in your story. Highlight, underline, circle, mark with asterisks, etc. Ask yourself: How would I tell the story to a friend in a conversation? Use simple, active sentences. Are you typing “and” or “but” or sentences that start with “There is” or “There are?” STOP. Look for a shorter, direct way to write that sentence. Avoid jargon. Use quotes sparingly. Make sure the quotes you do use are worth it. Do they illuminate what is being said in the story? Do they add a touch of color or personality? Be precise and direct. Write chronologically to help you be more efficient in your storytelling and help the reader understand your story. Be smart, be punchy and don’t belabor. Make a point and don’t make it again. Embrace lists and bullet points. They’re easy to read and you can get away with using incomplete sentences.</image:caption>

      <image:caption>When I was asked to help present a webinar on pitfalls to avoid in public relations writing, I knew immediately that I wanted to talk about bullshit. As in the kind of bullshit quotes that unfortunately are too common in news releases. How many times have you seen (or written) a quote like this: "We are so excited to announce a unique partnership that will innovate efficient technologies and synergize dynamic e-commerce, enabling 24/365 e-tailers to utilize impactful systems to scale up distributed solutions while embracing mission-critical initiatives." * Don’t lard your writing with BS that is full of jargon and dances around the meaning. Journalists can spot inauthentic quotes. So can your other readers, such as customers checking out your website. Don’t alienate them. If your CEO really wants to be quoted, use their real words — if they’re meaningful. Or, write a meaningful quote for them and get their approval to use in your news release. Remember, quotes should illuminate or support your main point. They shouldn’t leave readers feeling confused. Another tip: You don’t always need a direct quote. Really. It’s perfectly OK — and often preferable — to paraphrase for clarity. A Simple Test Here’s an easy test to help you determine whether a quote is worth including in your news release, blog post or other communications: What happens if you remove the quote? Does that action have any impact? Are you now missing a key point or an interesting anecdote that makes the news release easier to read? If removing the quote has no impact, leave it out. If you really need to include the quote (say, perhaps, your boss insists), rework it until it matters. If removing the quote has no impact, and you’re under no pressure to include it, then leave it out. Your news release will be better for the omission.       <image:title>Blog - It’s OK to Say “No” at Work - The boss was unhappy with me. I had pushed aside my own deadline-driven work to help a colleague who was in a jam. To my mind, I had done exactly what she had requested. I had fixed her problem and moved on. But apparently I had made her uncomfortable because I wasn’t upbeat enough when I did the work. My boss told me it wasn’t enough to do the work; I needed to be happy about it. I explained it was hard to be happy when I was frequently being asked to drop my work to handle coworkers’ problems (often created by their lack of organization, bu that’s another issue). I suggested that next time, to avoid inadvertently hurting anyone’s feelings, I would politely say “no” to last-minute requests and, when possible, schedule time later to take care of them. He told me that wasn’t an option. It was my job to be available whenever anyone needed me. In hindsight, I should have noticed the huge red flag that was whipping around right that in front me. To keep on top of my own duties, I found myself working more and more during my lunch breaks and taking more and more work home with me. In that situation, eventually you or work will suffer. Maybe both will. When you work in an organization, of course it’s important to be collegial and help teammates in need. But the ability to say “no” is crucial. It’s nearly impossible to complete your own work if you are expected to always put others’ needs above your own. A few suggestions for politely saying “no” at work: Say “no” and briefly explain why. Giving a reason that you can’t comply with a request may help the person understand that it’s nothing personal; you’re just busy at the moment. Mustering a smile, as I discovered, as you say this can’t hurt. Just be sure to make it a genuine smile. Be flexible and propose an alternative. Unless the situation is a true emergency, explain that you don’t have time to handle the request immediately but that you likely will have time tomorrow (or whenever works for your schedule). If the person can’t wait, they may go ahead and find someone else to help. You may even be able to suggest someone else who might be available to pitch in. If they can wait for you to do it later, then it really wasn’t an emergency, was it? Show gratitude and empathy. Thank the person for thinking of you when they need something done. Then firmly, but nicely, explain that your plate is full at the moment while acknowledging how busy they are, too. Of course, if you’re not the boss, you can’t always say “no,” so you have to be prepared to take on tasks that are inconvenient. However, if your work situation never allows you say “no,” it may be time to reconsider your job options. Otherwise, you’ll have to somehow learn to live with never getting your own work done to your satisfaction.</image:title>
